About the Position
🏛 The DEUS Initiative
We're a team of curious minds who believe technology should serve people. Our mission is to unlock the potential of AI for humanity through solutions that are not just innovative, but also ethical and impactful. We're driven by a desire to simply make things better.
Our name is inspired by deus ex machina, not because we think we’re gods, but because we design AI that steps in to support, solve, and serve.
DEUS also stands for what we do best:
Data | Engineering | User Experience | Strategy
With offices in Amsterdam, Porto, and A Coruña, we collaborate on international projects that challenge us to think deeply, build with care, and design for human good.
Will you be part of what comes next?
Responsibilities
Key Account – Business Operations (about 60%)
- Stakeholder management: Act as the day-to-day operational contact for key account and internal stakeholders (Sales, Delivery, Finance, People). Align priorities, manage expectations, and escalate risks early.
- CRM management: Keep account, contact, opportunity, and pipeline data accurate and up to date, and support Sales with pipeline reporting and data quality checks.
- Operational communication: Own operational communication, documentation, templates, and records.
- Request management: Monitor and act daily on resource requests and changes, serving as the main point of contact.
- PMO governance: Lead the weekly PMO meetings, from agenda setting and issue resolution to follow-up on actions.
- Time & expense control: Run the timesheet and travel expense control process, including a monthly review with corrective actions.
- Management support: Support management with ad-hoc analyses and requests.
Resource Management (about 40%)
- Traffic management (process owner): Maintain a live view of staffing (who is allocated where, and until when). Review staffing requests from Sales and Delivery, and flag roll-offs, overlaps, and expiring contracts early.
- Resource lifecycle: Coordinate interviews, onboarding, extensions, and offboarding across People, Finance, and IT, making sure every step is completed on time.
- People communications (owner): Communicate process updates, deadlines, and reminders, keeping operations aligned with business strategy.
- Timewriting (owner): Set deadlines, follow up on missing entries, validate hours against the correct codes, and reconcile with client platforms before invoicing and payroll close.
Requirements
- A Bachelor’s degree in Management, Accounting, International Business, Project Management, or a related field
- 2–3 years of experience in business operations, PMO, resource management, or project administration, ideally in consulting or professional services
- Proven experience engaging business and commercial stakeholders, setting agendas, and driving execution
- Excellent written and spoken English
- Confident, hands-on Excel skills
- A structured, organized, and autonomous way of working, with a strong drive for continuous improvement
Nice to Have
- Hands-on experience with a CRM and with commercial documents such as Statements of Work or proposals
- Experience with ERPs or CRMs
- Analytical skills, including reporting and dashboards
- Experience with resource planning and work management tools such as Ganttic, Jira, or similar
We Offer
- Community: Join a friendly multicultural team that loves to connect, through regular social events, activities, and our yearly company retreat, Pantheon.
- Flexibility: We encourage a hybrid setup, but there are no mandatory office days. You decide when to come in and how to manage your time.
- Growth: We support your development with a €1000 annual learning budget, dedicated mentorship, and a clear growth framework. We do annual reviews to recognize your growth and make sure your salary reflects it.
- Well-being: Benefit from health insurance, flexible benefits, extra vacation days with tenure, and regular check-ins to support your well-being.
- Purpose: Drive real impact and take ownership of meaningful projects with global clients.
