Executive Administrative Assistant - İstanbul

We are seeking a highly organized and proactive Executive Administrative Assistant to join our rapidly expanding company with a strong global footprint in İstanbul. Responsibilities

  • General Administrative and Organizational Activities:

    • Providing administrative support to the General Manager, including calendar management, travel and visa support, document flow, and occasional personal tasks.
    • Providing occasional business support such as preparing minutes of meetings (in Russian, English, or Turkish), presentations, reports, etc.
    • Consulting employees on administrative matters.
    • Organizing internal communications (e.g., information newsletters).
    • Managing office procurement based on business needs and providing local support for the Safety function.
  • Document Flow Management:

    • Administering incoming correspondence, including registration and handover to the responsible person.
    • Monitoring the timely approval and signing of contracts and other documents (both electronic and paper) by the CEO.
    • Working with Powers of Attorney (PoAs).
    • Technical Tasks (upon request): Printing, copying, scanning, laminating, and similar tasks.
  • Protocol Support:

    • Providing visa support for Management and occasionally for Company employees.
    • Organizing internal events.
    • Coordinating Management’s and employees’ participation in external events.
    • Updating the Company’s Partners database and ensuring timely congratulation of counterparties.
  • HR-related and Ad hoc Tasks:

    • Supporting the HR function with timesheets, annual leave planning, etc.
    • Participating in volunteering and other projects.

Requirements

  • Completed degree (BA/MA).
  • At least 1.5 years of relevant experience as an Administrative Assistant, Secretary, or in a similar role.
  • Languages:
    • English and Turkish (advanced)
    • Russian (at least upper-intermediate)
  • Advanced user of MS Office (especially PowerPoint).
  • Friendly and professional attitude, with a balanced and stress-resistant personality.
