Job Description, Responsibilities & Requirements

About the Position

We are seeking an Executive Assistant to support the Finance Leadership Team in London. Responsibilities include administrative support, meeting coordination, and travel arrangements. Competitive salary and benefits offered.

Responsibilities

  • Provide high-quality administrative support, producing letters, reports, presentations, and emails for the Finance Leadership Team (FLT).
  • Prepare and distribute meeting materials, including packs and documentation, ahead of deadlines.
  • Coordinate and organize internal and external meetings, conference calls, and events.
  • Manage complex FLT diaries, prioritizing effectively and using sound judgment to balance strategic and governance needs.
  • Act as a central point of contact for information requests and communication flow.
  • Arrange travel and accommodation, maintaining accurate cost records for reporting.
  • Process expenses promptly and ensure compliance with company systems and policies.
  • Support FLT-led functions, conferences, catering needs, and third-party provider coordination.
  • Assist HR with relocation and onboarding activities for new FLT hires.
  • Provide confidential support to whistleblowing processes, including scheduling meetings, maintaining records, and managing internal platform content.

Requirements

  • Proven experience in executive support or a similar role.
  • Strong organizational and time-management skills.
  • Ability to handle confidential information with discretion.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software and travel arrangements.
