About the Team
We are seeking an exceptionally organized, discreet, and experienced Executive Assistant to become the operational backbone of our CEO Office. You will work closely with the Chief of Staff to ensure the CEO and senior leadership team can operate at maximum effectiveness in a fast-paced, international environment.
Responsibilities
- Own complex calendar management across multiple time zones.
- Coordinate domestic and international travel, accommodation, transport, and detailed itineraries.
- Organize security arrangements and coordinate with executive protection where required.
- Support the preparation of meeting agendas, briefing packs, and background documents.
- Draft professional correspondence, follow-up emails, and meeting summaries on behalf of senior executives.
- Track action items and ensure follow-up across teams until completion.
- Coordinate internal and external meetings with governments, military leaders, investors, and international partners.
- Manage logistics for events, board meetings, and executive visits.
- Prepare printed briefing books, presentations, and meeting materials.
- Coordinate business cards, CEO office supplies, and executive administration.
- Support visitor management and protocol for senior guests.
- Work closely with Communications, Public Affairs, Security, HR, and Operations.
- Act as the central coordination point for the CEO Office.
Qualifications
- Significant experience supporting C-level executives or founders.
- Outstanding organizational skills and exceptional attention to detail.
- Excellent written communication skills in both German and English.
- Strong judgement, professionalism, and complete discretion.
- Ability to manage multiple competing priorities simultaneously.
- Comfortable working in a dynamic, high-growth environment where priorities change quickly.
- Confident interacting with senior government officials, military leaders, and international executives.
- Calm, resilient, and dependable under pressure.
