Executive Assistant, помічник CEO

About the Position

TAF Industries, a leading military-tech company specializing in the production and development of defense technologies, is seeking an Executive Assistant (помічник CEO). Join our team in Odesa, Ukraine, and contribute to our mission of enhancing battlefield superiority and safeguarding lives.

Responsibilities

• Ensure efficient use of the CEO's time and optimize their workday.
• Coordinate between the CEO and teams/departments.
• Monitor the execution of the CEO's tasks and adherence to deadlines.
• Filter, prioritize, and organize incoming requests.
• Plan and manage the CEO's calendar (calendar management).
• Organize meetings, conferences, and prepare meeting minutes.
• Process and filter incoming correspondence, calls, and requests.
• Prepare analytical reports, presentations, and materials for speeches.
• Organize business trips (travel support): tickets, accommodation, logistics.
• Perform personal tasks for the CEO (with prior agreement).

Requirements

• At least 2 years of experience as an Executive Assistant / Business Assistant / Project Manager.
• Experience working with C-level executives.
• Experience managing a high volume of tasks and information in a multitasking environment.
• Calendar management skills.
• Meeting organization, minutes preparation, and task follow-up skills.
• Travel support experience (booking, logistics, trip organization).
• Proficient user of Google Workspace (Docs, Sheets, Calendar, Drive), (PowerPoint / Canva).

Nice to Have

• Experience with ERP systems.
• English language proficiency at least at the Intermediate (B1) level.
• Recommendations from previous employers.
