Job description

About the Position

You’re one step ahead, preparing the executive for what matters most.

As an executive assistant at Gallup, you’ll be the operational extension of a senior leader whose work moves quickly across clients, internal partners, and global priorities. This is a highly visible partnership where you’ll protect executive time, keep key decisions moving, and directly strengthen business outcomes.

This role goes beyond calendar management. You’ll use judgment to read each situation, anticipate what’s next, follow up until answers land, and equip your executive to make every interaction count.

Proactive, accountable, and comfortable with ambiguity? Apply today.

Responsibilities

  • Own the executive calendar: Align time with client, prospect, and business priorities across competing demands, multiple time zones, and shifting circumstances.
  • Strengthen key relationships: Deliver a polished experience for clients, prospects, internal partners, and other influential stakeholders while keeping context and momentum intact.
  • Keep decisions moving: Track commitments, follow up respectfully, and make sure important work never stalls.
  • Prepare the executive to succeed: Research business, client, and global context ahead of meetings and travel, and then build agendas, briefings, and background materials.
  • Coordinate complex logistics: Manage domestic and international travel, in-office meetings, and executive hospitality with discretion and a high standard of service.
  • Drive executive-level projects: Translate priorities into clear actions, coordinate people and resources, and carry work through completion.
  • Support business development: Maintain accurate CRM records, produce polished proposals and presentations, and follow through on executive commitments.
  • Exercise discretion: Handle confidential information with maturity and represent Gallup with professionalism.

Requirements

  • Bachelor’s degree or equivalent experience required.
  • At least four years of experience supporting senior executives in a complex, client-facing professional environment required.
  • Demonstrated success managing complex executive calendars, competing priorities, projects, and senior stakeholder relationships required.
  • Strong written and verbal communication skills, with the proven ability to draft polished executive and client-facing correspondence required.
  • Strong discretion, sound judgment, and experience handling sensitive information required.
  • Experience using CRM systems, Microsoft Outlook, Word, Excel, PowerPoint, and Teams required.
  • Experience using AI tools to increase productivity, synthesize information, and support executive preparation preferred.
  • Experience preparing executive briefing materials, supporting business-development activities, or coordinating high-level domestic and international engagements preferred.
  • Experience supporting senior leaders in professional services, financial services, government, public affairs, or another high-profile professional environment preferred.
  • A commitment to working on-site at Gallup’s Washington, D.C., office five days per week with schedule flexibility aligned to executive and client needs required.
  • Eligibility to work in the U.S. required; this position is not eligible for employment visa sponsorship.

We Offer

  • Mission-driven work: Make a meaningful difference in the world with your unique contributions, commitment to service, and exceptional outcomes.
  • An empowering culture: Collaborate with smart, passionate people who love what they do and welcome your ideas, perspectives, and experiences.
  • Learning and development: Grow in your career as we invest in what you do best, encourage curiosity, and create an environment where it’s safe - and expected - to challenge the status quo.
  • Brand strength, startup energy: Thrive in an innovative environment backed by a trusted brand.
  • A vibrant workplace: Enjoy access to exciting public-facing events and our hub for thought leadership in our global headquarters in Washington, D.C., nestled in the nation’s capital and steps away from the National Mall and other historic landmarks.
