About the Position

Head of People Operations & Automation

We are looking for a Head of People Operations to join Kilo, a company that helps ventures grow by building systems, teams, and infrastructure. You will lead a team of two and be responsible for HRIS, compliance, contractor management, and people data. Your role will involve building reporting and self-service tools, including AI, to simplify People Operations for over 500 employees.

About the Role

You will report to our Chief People Officer and be the first dedicated leader of People Operations at Kilo. Your mission is to transform the function from an ad-hoc process to a well-defined, documented, and predictable delivery system. We aim to leverage AI to reduce manual work, improve data quality, and enhance employee experience while maintaining high standards for privacy, compliance, and trust.

Responsibilities

• Lead and develop a team, set priorities, and foster a culture of ownership and excellent service.
• Create workflows, a knowledge base, and AI-powered self-service tools to assist employees and managers.
• Manage the entire employee lifecycle, including onboarding, contract changes, internal moves, leave, offboarding, and employee records.
• Oversee EoR setups, structure the contractor community, and manage new country launches with clear documentation and controls.
• Own the HR tech stack, assess its suitability, lead integrations, data quality, access controls, and automation.
• Develop dashboards and reporting on headcount, turnover, costs, and more to aid leadership in making better workforce decisions.
• Collaborate closely with Finance, Legal, and IT on systems, integrations, and data accuracy, and manage external vendors and providers.
• Ensure processes and data are accurate before automating to allow the function to scale without a proportional increase in headcount.
• Participate in the People Leadership Team and help shape our broader people strategy.

Requirements

• 7+ years in People/HR Operations, including at least 2 years leading a team.
• Hands-on experience with multi-country payroll, EoR, and employment compliance in Europe. Knowledge of Lithuanian labor law is essential.
• Experience managing contractors or freelancers at scale and understanding the associated risks.
• Hands-on HRIS experience (Personio, HiBob, or similar), including implementation or migration and process automation.
• Comfortable with data, building reports and dashboards, and translating numbers into actionable recommendations.
• A clear perspective on how AI can transform People Operations and the judgment to use it safely.
• A track record of transforming a function from ad hoc to structured in a fast-growing environment.
• Willingness to set direction and also to resolve payroll issues personally.
• Fluency in Lithuanian and English.

Salary

Gross salary range is 6,000 to 8,000 EUR/month.

Location

We have several great workspaces to choose from, including our headquarters in Vilnius and our hubs in Klaipėda and Riga. For our Vilnius office, we follow a 4 days onsite, 1 day remote hybrid model. For roles based outside Vilnius, the work arrangement-onsite, hybrid, or remote-depends on the specific position.
