HR Coordinator

Keep recruitment, onboarding and people operations running smoothly as our team continues to grow.

The Opportunity

This position is exclusively for Ukrainian residents within Kyiv or Lviv.

We’re expanding our HR team and looking for an HR Coordinator to run day-to-day recruitment and onboarding processes. Both processes are already well established, so you’ll have clear workflows and documentation from day one. Alongside these two core areas, you’ll also support other People Operations activities. As you settle into the position, you’ll have the opportunity to get involved in additional People Operations projects.

Responsibilities

Work on Recruiting (30–50% of your time)

  • Publish vacancies across job boards and coordinate publishing across other recruitment channels.
  • Screen incoming applications.
  • Coordinate interviews with candidates and hiring managers.
  • Maintain accurate candidate records and keep candidates informed throughout the recruitment process.
  • Collect and communicate interview feedback.
  • Prepare offers and coordinate the pre-onboarding process.
  • Contribute to improving recruitment processes and candidate experience.

Conduct Onboarding

  • Coordinate the onboarding process for newcomers.
  • Coordinate onboarding meetings, access requests and other administrative activities.
  • Ensure onboarding tasks are completed on time.
  • Support newcomers during their first months with the company.

Support Other People Operations Tasks

  • Support the organisation of internal online and offline events.
  • Help coordinate business trips.
  • Assist with various People operations projects as needed.

Requirements

  • At least 1 year of experience coordinating recruitment or onboarding in a position such as HR Coordinator, Recruitment Coordinator, Project Coordinator or similar.
  • Understanding of the candidate journey from the first application to the end of onboarding, and why each stage matters.
  • Ability to write clear messages, updates and proposals that other people can quickly understand and act on.
  • Ability to keep track of multiple ongoing tasks, deadlines and stakeholders.
  • Ability to spot missing information, inconsistencies and small mistakes before they become bigger problems.
  • Comfortable working with documented processes and checklists, while recognising that different people and cases sometimes need a different approach.
  • Intermediate English (B2) or higher.

Nice to Have

  • Comfortable exploring unfamiliar tools, reading documentation and learning new technical concepts when needed.
  • Experience organising internal events.
  • Familiarity with online facilitation tools.
  • Experience working in an IT company.
