We are looking for an Immigration Specialist to join our team and take on a key role in managing immigration processes for employees and stakeholders. Responsibilities

  • Oversee the preparation of documentation for Polish work and residence permits, including initial applications, renewals, job condition updates, and ensuring legal compliance
  • Prepare employer-side documents for Polish visas, work permits, and residence permits
  • Coordinate with immigration vendors to ensure seamless and efficient operations
  • Serve as the primary point of contact for employees, managers, and HR teams throughout the immigration process
  • Provide clear and accurate information to stakeholders, offering support as needed while meeting service-level expectations
  • Monitor the progress of immigration cases, address challenges, and implement effective solutions as they arise
  • Identify areas for process improvement and actively implement changes to optimize workflows
  • Inform employees about organizational policies and ensure compliance with immigration regulations and company standards
  • Share updates on case progress, gather stakeholder feedback, and prepare detailed reports for management
  • Maintain compliance with corporate policies, local immigration laws, and data protection standards, including GDPR requirements
  • Work collaboratively with HR teams, managers, vendors, and government authorities to ensure compliant immigration support
  • Track expiration dates for permits and other critical deadlines to ensure timely actions and follow-ups
  • Consistently produce high-quality results within deadlines, independently and with minimal supervision

Requirements

  • Bachelor’s or Master’s degree in a relevant field
  • At least one year of professional experience in Immigration, Global Mobility, HR, or a related discipline
  • Ability to follow established procedures while identifying opportunities for improvement and refinement
  • Strong problem-solving, negotiation, and decision-making abilities
  • Quick learner with the ability to handle multiple priorities and demonstrate initiative in a fast-paced work environment
  • Excellent organizational and time-management skills
  • Ability to remain focused and perform effectively under tight deadlines
  • Proven experience working collaboratively with cross-functional teams to achieve objectives
  • Strong interpersonal and communication skills with a focus on delivering excellent service to stakeholders
  • Ability to establish and maintain positive relationships with stakeholders to ensure successful outcomes
  • Commitment to confidentiality and sound judgment when managing sensitive information
  • Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
  • Interest in utilizing AI tools (e.g., Microsoft Copilot, ChatGPT) to enhance workflows and improve efficiency
  • Interest in optimizing processes and driving operational improvements
  • Fluency in English and Polish, with a minimum B2 level in both written and spoken communication
