About the Position

We are looking for an Immigration Specialist to join our team and assist in managing immigration procedures for employees and stakeholders.

Responsibilities

  • Handle the preparation of documentation for Polish work and residence permits, including initial applications, renewals, updates to job conditions, and maintaining legal status
  • Draft employer-related documents for Polish visas, work permits, and residence permits
  • Collaborate with immigration vendors to facilitate streamlined and effective processes
  • Act as the main contact point for employees, managers, and HR teams throughout the immigration lifecycle
  • Provide accurate information and on-demand support to stakeholders while meeting service-level goals
  • Monitor immigration case statuses, resolve issues, and propose actionable solutions on an ongoing basis
  • Identify inefficiencies in workflows and actively implement enhancements to improve processes
  • Educate employees on corporate policies and ensure adherence to immigration rules and company standards
  • Provide updates on case progress, collect stakeholder feedback, and compile reports for management review
  • Ensure compliance with company policies, immigration laws, and data protection standards, including GDPR requirements
  • Work closely with HR teams, managers, vendors, and government officials to ensure compliance in immigration support
  • Track permit expiration dates and other key deadlines to ensure timely actions are taken
  • Consistently produce high-quality work within deadlines, with or without supervision

Requirements

  • Bachelor’s or Master’s degree in a relevant area
  • At least one year of professional experience, preferably in Immigration, Global Mobility, HR, or a related field
  • Ability to follow established procedures while identifying areas for improvement
  • Strong skills in problem-solving, negotiation, and decision-making
  • Ability to quickly learn, manage multiple priorities, and take initiative in a demanding environment
  • Excellent organizational and time-management abilities
  • Resilience and ability to perform effectively under tight deadlines
  • Proven experience in collaborating with cross-functional teams to achieve objectives
  • Strong interpersonal and communication skills, with a focus on delivering exceptional service to stakeholders
  • Ability to build and maintain relationships with stakeholders to ensure successful outcomes
  • Commitment to confidentiality and the ability to exercise sound judgment when dealing with sensitive information
  • Proficient in Microsoft 365, SharePoint, Google Drive, and Teams
  • Interest in utilizing AI tools (e.g., Microsoft Copilot, ChatGPT) to enhance productivity and improve workflows
  • Interest in optimizing processes and driving operational efficiency
  • Fluency in English and Polish, with a minimum B2 proficiency level in both written and spoken communication
