About the Position

We are seeking an Immigration Specialist to join our team and play a key role in supporting immigration processes for employees and stakeholders.

Responsibilities

  • Manage the creation of documents required for Polish work and residence permits, including initial applications, renewals, changes in job conditions, and maintaining immigration status
  • Prepare employer-related documentation for Polish visas, work permits, and residence permits
  • Work closely with immigration vendors to ensure smooth and efficient immigration workflows
  • Act as the main point of contact for managers, HR teams, and employees throughout all stages of the immigration process
  • Offer detailed information and on-demand assistance to stakeholders while adhering to service-level agreements
  • Monitor and maintain records of immigration case statuses, identify issues, and provide actionable resolutions regularly
  • Pinpoint areas for improvement in processes and actively implement changes to optimize workflows
  • Share corporate policies with employees and ensure compliance with immigration guidelines and company standards
  • Provide updates on case progress, stakeholder feedback, and compile case statistics for management to support process improvement
  • Ensure compliance with corporate policies, immigration laws, and data protection regulations, including GDPR requirements
  • Partner with HR teams, managers, vendors, and government officials to ensure immigration support is compliant and efficient
  • Keep track of permit expiration dates and critical deadlines to avoid delays in action
  • Consistently deliver quality work within set deadlines, both independently and with minimal supervision

Requirements

  • Bachelor’s or Master’s degree in a relevant discipline
  • At least 1 year of experience in a professional setting, preferably in Global Mobility, Immigration, HR, or a related field
  • Ability to adhere to established procedures while identifying ways to improve them
  • Strong skills in problem-solving, negotiation, and decision-making
  • Ability to learn quickly, handle multiple priorities, and show initiative in a fast-moving work environment
  • Excellent organizational and planning capabilities
  • Resilience and ability to perform under tight deadlines
  • Proven track record of collaborating effectively with cross-functional stakeholders to achieve goals
  • Exceptional interpersonal and communication skills, with a focus on customer service and stakeholder satisfaction
  • Expertise in managing relationships with stakeholders to ensure successful outcomes
  • Ability to handle confidential information responsibly and make sound judgments
  • Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
  • Interest in utilizing AI-driven tools (e.g., Microsoft Copilot, ChatGPT) to increase productivity and improve daily operations
  • Interest in streamlining processes and enhancing operational efficiency
  • Fluency in English and Polish, with a minimum B2 proficiency level in both written and spoken communication
