We are hiring an Immigration Specialist to support our team in managing immigration processes for employees and stakeholders. Responsibilities

  • Oversee the preparation of documentation for Polish work and residence permits, including initial applications, renewals, job condition updates, and status maintenance
  • Create employer-related paperwork for Polish visas, work permits, and residence permits
  • Coordinate with immigration vendors to ensure processes run smoothly and efficiently
  • Act as the primary contact for employees, managers, and HR teams throughout all stages of the immigration journey
  • Provide clear information and on-the-spot assistance to stakeholders, ensuring service-level expectations are met
  • Track immigration case statuses, address issues, and offer practical solutions on a regular basis
  • Identify gaps in workflows and proactively implement improvements to optimize processes
  • Inform employees about corporate policies and ensure compliance with immigration-related regulations and company standards
  • Share updates on case progress, gather feedback from stakeholders, and generate case-related reports for management
  • Maintain strict adherence to corporate policies, immigration laws, and data protection standards, including GDPR compliance
  • Collaborate with HR teams, managers, vendors, and government entities to provide compliant immigration support
  • Monitor permit expiration dates and other critical deadlines to ensure timely follow-ups and actions
  • Deliver high-quality results within deadlines, both autonomously and with minimal supervision

Requirements

  • Bachelor’s or Master’s degree in a related field
  • At least one year of professional experience, ideally in Immigration, Global Mobility, HR, or a similar area
  • Ability to follow established processes while identifying opportunities for refinement and enhancement
  • Strong problem-solving, negotiation, and decision-making abilities
  • Capacity to learn quickly, manage multiple tasks simultaneously, and take initiative in fast-paced settings
  • Exceptional organizational and planning skills
  • Resilience and ability to work effectively under deadline-driven conditions
  • Proven ability to collaborate successfully with cross-departmental stakeholders to achieve objectives
  • Strong interpersonal and communication skills with a focus on delivering excellent service to stakeholders
  • Competence in managing stakeholder relationships to ensure positive outcomes
  • Commitment to maintaining confidentiality and exercising sound judgment in handling sensitive information
  • Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
  • Interest in using AI-powered tools (e.g., Microsoft Copilot, ChatGPT) to enhance daily workflows and boost productivity
  • Interest in improving operational efficiency and optimizing processes
  • Proficiency in English and Polish, with a minimum B2 level in both oral and written communication
