About the Position

Kreditorenbuchhalter (m/w/d)

Munich

About Us

Helsing is a company in the field of defense AI. Our mission is to protect our democracies. We strive for technological leadership so that open societies can continue to make sovereign decisions and determine their own ethical standards.

As democracies, we see ourselves in the special responsibility of carefully examining the development and use of powerful technologies such as AI. We take this responsibility very seriously.

We are an ambitious and dedicated team of engineers, AI specialists, and customer-oriented program managers. We are looking for people who are excited about our mission to strengthen our European teams - and to use their skills to solve the most complex and consequential problems. We cultivate an open and transparent culture that expressly welcomes constructive debates about the use of technology in the defense sector, its benefits, and its ethical implications.

Responsibilities

As a Kreditorenbuchhalter (m/w/d), you will be responsible for our procure-to-pay process and will take on the functional leadership of our accounts payable team. In addition to the classic P2P process, expense management (travel and out-of-pocket expenses) is also part of the job. You will ensure that incoming invoices and expenses are checked, posted, and paid efficiently, correctly, and on time. In this role, you will not only be the central contact for our suppliers and internal departments, but you will also drive the digitalization and automation of our invoice processing processes. Furthermore, you will significantly support the establishment of a vertical service admin team that works and provides services independently of location. You will ensure smooth operations, always keeping our internal guidelines (compliance) in mind, support their continuous optimization, and make a significant contribution to a clean monthly and annual closing.

Daily Tasks

  • Support and development of the cross-site team for accounts payable
  • Responsibility for the entire workflow of incoming invoices – from data entry and verification to approval and payment – ensuring accuracy, timeliness, and compliance with internal controls at every stage
  • Taking on a central role in the implementation and configuration of Helsing's new AP workflow management system and shaping the way this function works for the coming years
  • Planning and execution of regular national and international payment runs and their approval, taking into account discount periods, liquidity targets, and treasury requirements
  • Quality management of supplier master data and contact person for complex inquiries from suppliers and internal stakeholders
  • Performing all closing activities in the accounts payable area at month-end and year-end, including account reconciliation, provisions, and allocations – within the deadlines set by the entire finance team
  • Identifying and implementing process improvements in the entire P2P and expense management cycle, with a particular focus on automation (e.g., OCR recognition) and the elimination of paper-based workflows
  • Ensuring consistent compliance with internal compliance frameworks (e.g., four-eyes principle, approval matrix) and applicable VAT regulations in all activities in the accounts payable area
  • Supporting the establishment of a location-independent service and administration team and participating in the design of scalable operating models and shared service structures

Requirements

  • You should have substantial experience in accounts payable and have taken on functional leadership tasks in this area
  • You should have solid, practical knowledge of the entire "procure-to-pay" process, including expense management, and be able to demonstrate that you have independently managed this cycle in a complex environment with multiple business units or locations
  • You should be proficient in one or more leading ERP systems (e.g., SAP, DATEV, MS Dynamics) and have worked with modern tools for invoice approval and workflows
  • You should have experience in implementing financial systems or process automation projects or be able to take on the responsibility for similar initiatives at Helsing
  • You should follow a highly structured and precise approach in financial transactions, coupled with the judgment to resolve ambiguous or complex situations pragmatically
  • You should be fluent in both German and English, enabling you to confidently communicate with Helsing's international supplier base and internal stakeholders

Note: We operate in an industry where women and other minorities are systematically underrepresented. We encourage you to apply even if you do not meet all the listed qualifications; skills and impact cannot be summarized in a few bullet points.

Nice to Have

  • Practical experience with specialized platforms for procurement, expense management, or accounts payable automation (e.g., Coupa, Ariba, Basware, xSuite, TravelPerk, Concur)
  • Practical knowledge of national and international VAT legislation, including mechanisms such as reverse charge
  • Experience in shaping or leading the operation of a Shared Service Center (SSC)
  • Previous involvement in ERP implementations or broader financial transformation programs
  • Previous professional experience in the defense, deep tech, or high-growth technology sectors

Join Helsing and Work with World-Leading Experts in Their Fields

  • Working at Helsing is important. You directly contribute to the protection of democratic countries, taking into account both ethical and geopolitical considerations
  • The work is unique. We operate in a field that presents highly unusual technical requirements and constraints, where robustness, security, and ethical considerations are of critical importance. You will face unique challenges in engineering and AI that have a significant impact on the world
  • Our work often takes us to the forefront of the state of the art, whether in the field of reinforcement learning, distributed systems, generative AI, or deployment infrastructure. The defense industry is undergoing the most exciting phase of its technological development curve. Advances in our field are not incremental: Helsing is part of historic leaps forward and often even pioneers them
  • In our field, success is a matter of whole-order-of-magnitude improvements and novel capabilities. This means we take risks, aim high, and focus on big opportunities. Although Helsing is a relatively young company, it has already been selected for several significant government contracts
  • We actively promote a healthy, proactive, and diverse debate about what we do and how we do it. At Helsing, you have a say in how we (and you!) work, the opportunity to engage with what works and what doesn't, and the responsibility to take ownership of aspects of our culture that matter most to you
