About the Role

The Logistics Assistant ensures the execution of local deliveries and movements of goods after purchase orders are processed-from order creation to the actual receipt of goods at the warehouse. The role is responsible for the timeliness of deliveries, the correctness of documents, and the coordination of all participants in the process for assigned orders. The Logistics Assistant is responsible for placing orders in an already formed supplier base, independently coordinates standard deliveries from the moment of order creation to the receipt of goods at the warehouse, controls the fulfillment of obligations by suppliers, and ensures the accuracy of information regarding the status of deliveries. In more complex, non-standard, or critical cases, they work under the supervision of a Specialist or Team Leader.

Responsibilities

Operational Support of Purchases

• Formation and support of purchase orders (PO) in the ERP system and sending them to suppliers.
• Control of supplier obligations.
• Coordination of goods readiness for shipment.
• Agreement of delivery schedules with suppliers.

Coordination of Local Logistics

• Organization of transportation within Ukraine.
• Interaction with transport companies and courier services.
• Control of delivery deadlines.
• Monitoring the status of shipments and informing internal customers.
• Escalation of risks of delays or changes in deliveries.

Warehouse Operations

• Coordination of goods receipt at the warehouse.
• Control of the correspondence of delivered goods to accompanying documents.
• Interaction with the warehouse team regarding the receipt and movement of goods.
• Participation in the process of goods acceptance.

Document and Record Management

• Ensuring the completeness of documents for each delivery.
• Preparation of supply contracts based on templates.
• Control of document compliance with actual supply.
• Maintenance of transport waybills, acts, and other accompanying documents.
• Support of actual delivery status in the ERP system.

Interaction with Teams

• Coordination with production, warehouse, finance, and accounting departments, among others.
• Transmission of information regarding delivery deadlines.
• Support of order status transparency for internal customers.

Control and Basic Analytics

• Control of delivery deadlines for their orders.
• Recording of reasons for delays.
• Preparation of basic reports on deliveries and logistics operations.

Requirements

• Higher education, incomplete higher education.
• Understanding of basic document flow in procurement.
• Organization and attention to detail.
• Ability to work with documents and large amounts of information.
• Confident proficiency in Excel / Google Sheets.
• Ability to work with ERP systems or willingness to learn quickly.
• Systematic approach and responsibility.

• Experience with warehouse accounting.

• Experience in manufacturing or hardware companies.
