Job Description, Responsibilities & Requirements

About the Position

We are seeking detail-driven, process-focused individuals to join our newly formed Mortgage Servicing Team at OneDome.

This team acts as a quality and control function across the mortgage lifecycle, ensuring cases are fully documented, compliant, and accurately maintained both before submission and post-offer through to completion.

This is a purely back-office role suited to individuals who thrive in structured, high-volume, accuracy-critical environments. You will not speak directly with customers or lenders.

Responsibilities

Document Checking and Organisation

  • Relabelling and organising documents correctly in the system so they are easy to review and locate.
  • Checking that the correct documents are present for the case type and applicant scenario (e.g., ID, address, income, bank statements, and any additional supporting evidence).
  • Verifying documents are readable, in date, and complete (e.g., full statement pages, correct time periods, matching names).
  • Ensuring documents are filed in the correct location and under the correct category in internal systems.
  • Flagging missing, incorrect, unreadable, or out of date documents clearly in CRM notes and escalating through the correct route.

System Accuracy and Case Readiness

  • Keeping internal systems clean, accurate, and up to date.
  • Updating case notes clearly so other teams can progress the case without delay.
  • Following set checklists and processes to ensure consistency and quality.

Completion Status Checks

  • Checking internal systems and lender portals to confirm whether a mortgage has: Completed or been given a confirmed completion date.
    • Completed
    • Been given a confirmed completion date.
  • Updating CRM statuses accurately and leaving clear notes when completion is confirmed.

Service Standards and Team Support

  • Working to agreed turnaround times and quality standards.
  • Supporting the wider mortgage operations team by ensuring cases are accurate and well prepared.
  • Escalating issues in line with agreed processes.

Requirements

  • Experience in administration, operations, document control, or similar roles.
  • Strong attention to detail and a methodical working style.
  • Comfortable working with systems and handling repetitive tasks.
  • Ability to follow processes accurately and consistently.
  • Organised and able to manage their workload effectively.
  • Clear written communication skills when updating system notes.
  • Comfortable working in a fast-paced, quality-focused environment.
