Operations Manager / Project Manager

As an Operations Manager / Project Manager, you'll be responsible for coordinating day-to-day operations and turning business priorities into structured execution. You will work closely with cross-functional teams (Design, QA, Content, AI, and Affiliate) and report directly to the General Manager.

Responsibilities

• Coordinate tasks across teams and ensure deadlines and priorities are met
• Translate business goals into clear tasks, timelines, and owners
• Collect and structure updates, provide clear status reports to the GM
• Onboard and QA email accounts (basic setup, structure, readiness for launch)
• Review email templates and content for quality, consistency, and basic deliverability
• Use AI tools (ChatGPT, Claude) to support content generation, QA, and daily operations
• Maintain SOPs, trackers, and documentation (Notion)
• Identify bottlenecks and improve workflows

Requirements

• 3+ years in operations, project management, or coordination roles
• Basic understanding of email marketing (campaigns, open rate, CTR)
• Basic understanding of affiliate/referral workflows
• Confident use of AI tools (ChatGPT, Claude) and basic prompt engineering, with the ability to generate and QA content meticulously against internal rules
• Strong organizational and communication skills
• High ownership and ability to work independently
• Comfortable working in fast-changing, unstructured environments
• English level: C1 or higher

Nice to Have

• Experience with email platforms (Beehiiv, Mailchimp, Substack, Ghost, Brevo, ConvertKit or similar)
• Basic understanding of email deliverability and sender warmup processes
• Familiarity with SPF, DKIM, DMARC at a high level
• Tech-adjacent background or strong technical literacy
• Experience in media, newsletters, affiliate, or performance marketing
• Experience with workflow automation tools (Make, Zapier, n8n)
• Experience supporting a founder, GM, or executive (chief of staff style)
• Experience working with distributed or international teams
