About the Position

Operations Specialist – Breakbulk

We are seeking a dedicated Operations Specialist – Breakbulk to join our team in Walvis Bay, Namibia. This role is pivotal in managing the effective planning, coordination, and execution of bulk and breakbulk vessel operations, with a focus on vessel loading and discharge activities.

Responsibilities

Vessel & Breakbulk Operations

• Coordinate and oversee bulk and breakbulk vessel loading and discharge operations.
• Plan and coordinate vessel operations with various stakeholders.
• Ensure cargo is handled safely and efficiently.
• Monitor vessel operations against planned rates and schedules.
• Resolve operational delays and discrepancies promptly.
• Maintain accurate recording and reporting of cargo movements.

Customer & Stakeholder Management

• Act as the operational point of contact for key customers.
• Maintain strong relationships with customers, shipping lines, and service providers.
• Provide regular operational updates and resolve service issues.
• Communicate customer instructions clearly and ensure correct execution.

Planning & Operational Control

• Coordinate resources and equipment required for vessel operations.
• Ensure all operational parties are aligned and ready.
• Monitor daily progress against operational plans and KPIs.
• Escalate risks and deviations proactively.
• Ensure adherence to SOPs and operational procedures.

Commercial & Cost Management

• Monitor operational costs and identify opportunities for efficiency.
• Ensure agreed rates and commercial arrangements are adhered to.
• Assist in identifying new operational opportunities and value-added services.
• Support accurate invoicing and documentation.

Reporting & Administration

• Maintain accurate operational records and documentation.
• Prepare operational reports as required.
• Monitor vessel performance and operational KPIs.
• Assist with debtor and creditor queries.

Team & Service Delivery

• Provide operational guidance and support to colleagues.
• Coordinate internal teams and external service providers.
• Drive adherence to SOPs, safety requirements, and company procedures.
• Promote a proactive and performance-driven environment.

Requirements

Core Skills

• High level of computer literacy in MS Office Suite.
• Excellent verbal and written communication.
• Strong operational planning, coordination, and organizational skills.
• High level of numeracy and financial understanding.
• Excellent stakeholder and customer relationship skills.
• Strong understanding of vessel, port, terminal, and cargo handling operations.
• Good problem-solving and decision-making skills.
• Strong attention to detail and ability to maintain accurate operational records.
• Proactive, organized, and performance-driven approach.

Experience

• Minimum 5 years’ experience in freight forwarding, shipping, logistics, or terminal operations.
• Minimum 5 years’ operational experience, preferably within imports/exports in Africa.
• Experience in bulk and/or breakbulk vessel operations.
• Experience in Minerals / Metals / Mining / Project Cargo is advantageous.
