About the Position

Payroll & Stock Administration Assistant

Full-Time

We are looking for a detail-oriented and organized Payroll & Stock Administration Assistant to support our Finance team. This role is responsible for assisting with day-to-day payroll processing and equity administration activities. The ideal candidate is highly accurate, comfortable with multiple systems, and eager to grow their career in payroll and equity operations.

Responsibilities

Payroll

  • Assist with end-to-end payroll processing for U.S. employees on a bi-weekly basis
  • Maintain and update employee records in the payroll system, including new hires, terminations, salary changes, and deductions
  • Reconcile payroll reports and resolve discrepancies in a timely manner
  • Support garnishment, tax withholding, and benefit deduction processing
  • Assist with payroll tax filings and year-end activities including W-2 preparation
  • Respond to employee inquiries related to pay, deductions, and payroll policies

Stock / Equity Administration

  • Support the administration of equity plans including RSUs and ESPP
  • Assist with processing equity grants, vesting schedules, and releases in the equity platform
  • Maintain accurate equity records and assist with reconciliation between the equity platform and internal records
  • Coordinate with external brokers, transfer agents, and legal as needed
  • Assist with equity-related reporting for financial statements and SEC disclosures
  • Support employees with questions related to equity awards, vesting, and tax implications

Requirements

Required

  • 1–2 years of experience in payroll processing, equity administration, or a related HR/Finance support role
  • Strong attention to detail and accuracy in data entry and record-keeping
  • Proficiency in Microsoft Excel (e.g., VLOOKUP, pivot tables)
  • Ability to handle confidential information with discretion and professionalism
  • Strong organizational and time management skills with the ability to meet deadlines
  • Excellent written and verbal communication skills

Preferred

  • Experience with Rippling for payroll and HR administration
  • Experience with Workday for HCM or payroll workflows
  • Experience with Solium Shareworks (Morgan Stanley) or similar equity administration platforms
  • Exposure to equity compensation concepts (RSUs, stock options, ESPP, vesting schedules)
  • Experience at a public company or in a SOX-compliant environment
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field
