About the Position
Planner/Service Admin
Ede, Netherlands
We are a leading supplier and service partner in water treatment. For our service teams in Ede and Venlo, we are looking for an enthusiastic Planner/Service Admin to join our team.
The role will be performed from our office in Ede. After a proper onboarding period, there is the possibility to work from home two days a week (based on full-time).
As a Planner/Service Admin, you will be an important link between our customers, service technicians, work preparation, and internal departments. You will be the first point of contact for customers when scheduling maintenance work and outages. Additionally, you will contribute significantly to the administrative processing of work orders and support the Field Service department in daily operations.
In 2027, our organization will transition to a new service program. As a Planner/Service Admin, you will support this transition in terms of implementation and data migration. You will be involved early in the project team, allowing you to get to know the service department quickly and actively contribute to the further professionalization of our processes.
The team consists of twelve service technicians, one work preparer, and one Planner/Service Admin. In this role, you will report directly to the Field Service Manager. You will also work closely with the support department of our Customer Service Team. Faults are received by this department. Once a fault has been converted into a work order, it is your responsibility to schedule it according to the agreements made, follow up, and communicate clearly with all involved parties.
In this role, you will be responsible for planning, monitoring, and adjusting service activities. You will ensure that our service technicians are efficiently deployed and that customers are informed timely and clearly.
Your duties include:
- Scheduling service engineers based on availability, knowledge, location, and urgency.
- Coordinating preventive and corrective maintenance.
- Assessing fault notifications and determining the correct priority.
- Coordinating activities with customers, suppliers, and internal departments.
- Monitoring response times, contract agreements, and service levels.
- Adjusting the schedule in case of emergencies, absence of technicians, or backlogs.
In addition to planning, you will support the Field Service department with various administrative tasks. You will ensure that work orders are processed completely, correctly, and timely.
Your duties include:
- Processing and checking service vouchers.
- Maintaining customer data, installation data, and contract information.
- Assisting in preparing quotes for service work or parts.
- Processing hours, materials, and travel details.
- Preparing invoicing for the administration.
- Archiving reports, measurement data, and maintenance documents.
You will support our service technicians so that they are well-prepared and can perform their work efficiently. This includes:
- Providing planning, customer information, and technical documentation (with support from the support department).
- Ensuring that engineers have the correct work vouchers and information.
- Coordinating changes in the schedule.
- Processing feedback from the field.
- Identifying bottlenecks in capacity, material availability, or customer agreements.
We are looking for a colleague who gets energy from planning, organizing, and collaborating. Someone who can maintain an overview, communicate customer-oriented, and enjoys improving together with the team every day. Within our organization, there are ample opportunities for growth in the future. Especially with the transition to a new service system, this role offers great opportunities to develop yourself and make a visible difference.
We are looking for an enthusiastic, accurate, and service-oriented colleague who can maintain an overview in a dynamic environment. You are communicative, able to prioritize, and enjoy working with customers, technicians, and colleagues from different departments.
You recognize yourself in the following profile:
- MBO work and thinking level.
- Experience in a similar role is desirable but not necessary.
- Strong communication skills.
- Patient, stress-resistant, and solution-oriented.
- Good command of Dutch and English.
