Project & Operations Coordinator (HVAC)

About the Position

We are seeking a Project & Operations Coordinator (HVAC) to join our Florida-based HVAC company. This role involves managing HVAC and construction-related operations, coordinating schedules, and supporting customer communication. The ideal candidate will be proactive, detail-oriented, and eager to grow within a dynamic and supportive environment.

Responsibilities

• Communicate with customers via phone, email, and messaging platforms.
• Coordinate and manage technician schedules and service appointments.
• Support day-to-day operational activities and workflow management.
• Work within Housecall Pro CRM to maintain accurate records and job information.
• Assist with permit-related processes and documentation.
• Coordinate with internal teams, technicians, vendors, and customers.
• Monitor ongoing projects and ensure timely follow-up on outstanding items.
• Resolve customer inquiries and support issue resolution.
• Maintain organized documentation and operational records.
• Contribute to process improvements and operational efficiency initiatives.

Requirements

• Previous experience in construction, HVAC, building materials, home services, or a related industry.
• Experience working with customers and handling phone communication.
• Strong organizational skills.
• High level of accountability and execution.
• Ability to work effectively in a fast-paced environment.
• Stress-resistant and comfortable managing multiple priorities.
• Proactive mindset and willingness to take ownership of tasks.
• Language Requirements:
  • Fluent English is required for candidates from Ukraine.
  • Fluent English and Fluent Spanish are required for candidates from LatAM.
