About the Position

Supply Chain Assistant

Overall purpose of the role: Responsible for field level Supply Chain (Procurement of goods/services, administrative tasks, Logistics, Asset, Inventory, Warehouse and Fleet management. Provision of general support to the Program for Supply Chain related issues.)

Geographic Scope: Field (Hatay)

This role has a field focus but still ensures compliance to DRC procedures and guidelines within the country. The role contributes to the development of country strategies, which are translated into action plans and day-to-day tasks.

Responsibilities

Supply Chain

  • Support the implementation of procurement processes in line with DRC Operations Handbook and donor requirements.
  • Process Purchase Requisitions, prepare RFQs, obtain quotations and ensure procurement documentation is complete and compliant.
  • Follow up procurement requests from initiation until final delivery and maintain accurate procurement tracking records at sharepoint.
  • Maintain regular communication with Area manager, requesters and suppliers regarding procurement status and delivery schedules.
  • Assist in supplier sourcing, market assessments and DYN vendor registration activities.
  • Ensure proper filing of all Supply Chain documentation in both physical and electronic systems.
  • Correctly apply Microsoft Dynamics Supply Chain processes and ensure timely updates.
  • Keep the regular procurement, asset and Supply Chain trackers up to date.
  • Support new staff with basic guidance on Supply Chain procedures and documentation when requested.

Asset Management

  • Monitor asset records in Microsoft Dynamics and ensure timely updates executed by COT for asset movements.
  • Ensure all assets are properly tagged, recorded and assigned.
  • Conduct periodic physical asset verifications and support reconciliation exercises led by COT.
  • Report asset discrepancies, damages and losses to COT SCM
  • Support asset disposal and transfer processes at Hatay in accordance with DRC procedures.

Fleet Management

  • Support daily fleet operations and vehicle scheduling.
  • Maintain vehicle movement records, logbooks and supporting documentation.
  • Compile monthly fuel consumption and vehicle utilization reports.
  • Monitor vehicle maintenance schedules and coordinate servicing with COT when required.
  • Verify drivers' documentation, overtime records and vehicle files are complete.

Administration and Office Support

  • Support the maintenance of office facilities and coordinate minor repair and maintenance works.
  • Ensure all facilities, including office buildings are well-maintained, opened and closed on time, safe, and functioning properly by overseeing repairs and compliance with DRC standards including lease agreements and liaise with landlords.
  • Follow up utility payments, lease documentation and office service contracts.
  • Coordinate accommodation, meeting arrangements, cargo shipments and courier services in Antakya.
  • Liaise with landlords, service providers and local authorities for lease and administrative matters under the guidance of the Area Mgr/SCM.
  • Monitor office safety issues and promptly report any concerns to the Supply Chain Manager, Area Manager and Safety Focal Point.

Requirements

Required:

  • Minimum 2 years of relevant work experience.
  • Experience in administrative tasks, including e-filing systems.
  • Excellent IT skills, experience in operating an ERP supply chain system will be a benefit.
  • Experience in supply chain management including procurement, transport, asset management, warehouse and stock management.
  • Experience with standard public procurement procedures and documentation.
  • Fluent Turkish.
  • Upper-intermediate (B2) level English.
  • Arabic knowledge is desirable.
