Responsibilities

Own business travel operations end to end, supporting colleagues with flights, accommodation, car rentals, and other travel arrangements
Manage employee access to corporate transport, travel platforms, and benefit accounts
Coordinate with hotels and travel agencies, comparing options to balance traveler needs, convenience, and budget
Guide colleagues on travel essentials such as daily allowances, visas, mobile connectivity, and unexpected travel changes
Collect and check travel and office invoices, working with Finance to resolve discrepancies and ensure timely processing
Coordinate logistics for trainings, workshops, learning programs, and team events - including venues, catering, equipment, materials, schedules, and participant travel
Manage event invitations, registrations, reminders, attendance, feedback, and the learning and events calendar
Improve everyday operations by keeping guidance, templates, and checklists up to date, using AI and automation to reduce repetitive admin, and supporting the Office Admin team when needed

Requirements

Be highly organized and comfortable managing multiple requests, bookings, deadlines, and events at once
Have strong attention to detail when working with invoices, itineraries, employee information, attendance records, and account access
Communicate clearly and warmly in both Lithuanian and English, with a helpful approach to supporting colleagues
Be confident working with vendors, comparing offers, and balancing cost, convenience, and quality
Stay calm when plans change and take a practical, solution-oriented approach to problems
Understand the basics of business travel, including daily allowances, visas, and travel connectivity
Be confident with spreadsheets, digital and AI tools, and quick to learn new booking, administrative, and learning systems
Ideally, bring experience in travel coordination, events, office administration, hospitality, L&D or HR; experience with LMS, travel platforms, vendors, invoices, or international travel is a plus
