About the Position

Accountant – Payables – Mombasa

We are seeking an experienced Accountant – Payables to join our team in Mombasa. The role is responsible for executing the end-to-end accounts payable process, ensuring supplier invoices are accurately received, processed, and paid within agreed terms. The role ensures compliance with documented SOPs, internal controls, and company policies.

Responsibilities

Suppliers’ Document Management

• Receive and review vendor invoices to ensure all information is accurate and complete (e.g., VAT, amount).
• Scan, code, and post invoices into the BC system and follow up with the approving authority for timely data entry into the SAP.
• Ensure correct vendor master data is maintained (e.g., correct payment terms in SAP, no duplicate vendor codes, etc.).
• Ensure proper filing of payables accounting documents and other company documents.

Management of Suppliers Accounts

• Coordinate with user departments to resolve supplier-related queries within the agreed period and address disputes immediately.
• Monitor the aging of vendor invoices and prepare creditors reconciliation for timely posting of payments.
• Coordinate with Operations and Senior Accountant to ensure timely settlement of intercompany payables, proper account reconciliation, and timely dispute resolution.
• Generate and send reconciliation statements to creditors/vendors/suppliers and follow up on unallocated receipts.
• Manage overhead expenses focused on utility accounts, insurances/licenses, travel & accommodation, and transporter invoices.

Management of Suppliers Payment

• Produce a weekly supplier’s payment forecast/plan based on creditors/vendor reconciliation statements.
• Prepare final run for payments after extracting invoices for extended terms/unauthorized orders and confirming the final payment value with Management.

Petty Cash Accounts and Bank Reconciliations

• Post petty cash to the correct GL accounts and ensure GL balances are reconciled and matched with physical cash count at the end of the day.
• Ensure cash payments to vendors are kept to a minimum and only authorized by the Assistant Finance Manager or Finance Manager.

Tax and Other Statutory Payments

• Review iTax auto-populated returns against processed invoices to ensure VAT compliance.
• Assist with filling VAT processes, including addressing VAT input queries raised by tax consultants.
• Prepare WHT schedules and payments, ensuring WHT payments are made within stipulated timelines and certificates are shared.

Others

• Follow all established departmental SOPs, internal controls, and limits of authority.
• Be a team player and contribute to the overall performance of the Finance department.

Requirements

Education

• Diploma/Degree in Accounting, Finance, Business Administration, or related field.
• CPA/ACCA or equivalent professional qualification.

Experience

• Minimum 3 years’ experience in a busy accounting environment.
• Proficiency in ERP/accounting systems, preferably SAP Business One and MS Office applications.
• Experience in the logistics industry or a multinational environment will be an added advantage.
