Your mission is to own the execution layer around the CEO’s time - one of our most critical and finite resources - while making our West Village HQ an exceptional place to work. Your first priority is ensuring the CEO can stay focused on the highest-value work by seamlessly managing the calendar, coordination, travel, and logistics. Your second is creating an office experience that runs flawlessly, feels intentional and brings energy to the team. You’ll inject fun and connection into our culture through events, celebrations, little surprises, and the moments that make people genuinely excited to come into the office.

Responsibilities

• Calendar + inbox: Prioritize the calendar, coordinate from email threads, protect focus time and close scheduling loops quickly.
• Travel + logistics: Own complex domestic and international travel, itineraries, changes and contingencies.
• Meeting mechanics: Make board, investor, customer and internal meetings operationally seamless, from invitations to materials and rooms.
• CEO administration: Handle expenses, signatures, reservations, selected personal logistics and the CEO's own commitments without repeated follow-up.
• NYC Office + culture: Own day-to-day experience of our West Village HQ. Notice what needs attention before someone needs to ask.
• AI-enabled support: Use modern tools and automation to eliminate repetitive scheduling, travel, note handling and administrative work.

Requirements

• 3+ years directly supporting a founder, CEO, senior executive or similarly demanding principal.
• Exceptional organization and anticipation. You see conflicts and missing details before they become problems.
• Clear, concise and professional in writing, with strong judgment representing the CEO's office externally.
• Calm, discreet, responsive and low ego. You are comfortable with direct feedback and high standards.
• You take pride in executive support as a craft and are AI-native enough to make the work materially more efficient.
