About the Position

People Experience Coordinator

Auditdata is seeking a People Experience Coordinator to join our People & Culture team, based in our Kyiv office. This role is hybrid and based in Ukraine. You'll be responsible for ensuring the smooth and personal employee journey from pre-boarding to offboarding.

Responsibilities

Pre-boarding - a great first impression

  • Create and send job offers to new hires
  • Set up employee profiles in our HRM system
  • Prepare and issue employment contracts
  • Gather the required documents from new hires and store them securely in the HRM system
  • Coordinate with Internal IT to set up system access and arrange equipment delivery ahead of the start date
  • Stay in touch with new hires before day one, making sure they have all the information and support they need
  • Book an introduction call so every new hire feels welcomed from the start

Administration - keeping the everyday running

  • Maintain accurate, up-to-date employee records in the HRM system - personal data, contract terms and role changes as they happen
  • Process contract amendments and changes as needed
  • Help administer employee related activities: shipments for employees gifts (birthdays, work anniversaries and Christmas), company events etc.
  • Support the administration of our Kyiv office
  • Provide friendly, reliable HR support on day-to-day employee queries about documentation and records
  • Review our HR systems and tools, and drive improvements to workflows, integrations and usability

Offboarding - a respectful goodbye

  • Support employees throughout the offboarding process, liaising with other departments as needed
  • Manage the administrative side of employee departures
  • Close out employment contracts upon departure, prepare and send termination documentation
  • Coordinate equipment-return logistics
  • Work with Internal IT to ensure system access is revoked promptly and securely

Requirements

  • Experience in an HR, People Operations or coordination role, ideally with an HRM/HRIS/ATS systems
  • Exceptionally organised, with a sharp eye for detail and accuracy
  • Warm, approachable and genuinely helpful - people trust you with the details
  • Comfortable juggling several priorities and keeping everything on track
  • Digitally savvy and curious about tools, processes, improvement and optimization
  • Passionate about other countries, cultures and motivated to learn HR specifics globally
  • Clear communicator in English
  • Discreet and dependable when handling confidential employee information
