Personnel Manager

About the Position

We are currently looking for a Personnel Manager who will be responsible for end-to-end personnel administration and military records management for our clients and companies within the group.

Responsibilities

Personnel Administration (Labor Code & Diia.City)

• Maintain full personnel administration records in BAS for clients and companies within the group;
• Support employees and gig specialists throughout their employment lifecycle, including leave management, dismissals, and timesheet administration;
• Submit required notifications to the State Tax Service and Pension Fund of Ukraine.

Military Records Management

• Organize and maintain military records in accordance with Resolution No. 1487, including employee registers, notifications, and reporting to Territorial Recruitment Centers;
• Prepare documentation packages for inspections and audits.

Employee Reservation Process

• Support the process of obtaining critical enterprise status and employee reservations through Diia and the Ministry of Digital Transformation.

HR Audit and Compliance

• Conduct initial audits of personnel documentation for new clients;
• Identify compliance risks and prepare checklists for corrective actions.

HR Consulting

• Consult IT clients on labor law and personnel administration matters;
• Monitor legislative changes and develop internal policies, documentation, and explanatory materials.

Requirements

• 1.5–2+ years of experience in personnel administration (HR administration);
• Strong knowledge of military records management, including maintaining personnel records, registers, and preparing notifications for Territorial Recruitment and Social Support Centers (TCRSC) in accordance with Resolution No. 1487;
• Understanding of the employee reservation (critical workforce reservation) process in accordance with Resolution No. 76, from document collection to submission of employee lists;
• Confident user of BAS;
• Experience working with electronic signatures (EDS), the Pension Fund of Ukraine portal, and electronic document management systems such as Vchasno and M.E.Doc;
• Advanced proficiency in Google Sheets / Excel, including formulas, pivot tables, and reporting;
• Ability to manage personnel administration processes for multiple clients simultaneously.

Nice to Have

• Experience in consulting environments or companies with multiple legal entities.

Additional Information

• Full-time position;
• Working hours: 10:00 AM – 7:00 PM, Monday to Friday;
• Hybrid work format available after the probation period;
• Office location: 3 Ulasa Samchuka Street, Lviv;
