About the Position

Akademia Łazarskiego is seeking a Reception Specialist for our team in Warszawa. We are looking for a responsible, well-organized, and communicative individual who will support the daily operations of the reception and ensure the smooth flow of information and documents.

Responsibilities

• Current reception and information point service
• Receiving and directing guests and visitors
• Handling incoming and outgoing correspondence and courier shipments
• Issuing keys and maintaining related records
• Receiving and registering documents, including invoices
• Operating basic computer systems and email
• Collaborating with other university departments on information and document circulation
• Providing organizational support during events on campus
• Monitoring building security and reporting irregularities

Requirements

• Experience in reception, administration, or customer service
• Good organizational skills and ability to prioritize tasks
• Communicative and high personal culture
• Ability to work under time pressure and in a multitasking environment
• Basic knowledge of MS Office (Outlook, Word, Excel)
• Responsibility, independence, and reliability
• Knowledge of English at a level that allows basic service to foreign guests is welcome

3. Your personal data will be processed for the purpose of conducting the recruitment process for a position at Akademia Łazarskiego.
4. The legal basis for processing your personal data is the provisions of employment law: Article 22[1] and paragraph 3 of the Regulation of the Minister of Family, Labor and Social Policy of 10 December 2018 on employee documentation and Article 6(1)(c) of the GDPR. Other data not required by law, provided in documents, is based on consent under Article 6(1)(a) of the GDPR, which can be withdrawn at any time.
5. Your personal data will be stored by the data controller for the period necessary to achieve the aforementioned purpose, i.e., until the end of the recruitment process. Akademia Łazarskiego will process your personal data for 9 months, also in subsequent recruitment drives if you give your consent, which can be withdrawn at any time.
6. Your personal data will be received only by entities entitled to obtain personal data under the law, authorized employees, and entities to whom the data controller has entrusted or commissioned data processing, including software providers, hosting companies, or document destruction companies.
7. Your personal data will not be processed in an automated manner and will not be subject to profiling.
8. You have the right to request access to your personal data, the right to rectification, deletion, or restriction of processing, the right to data portability.
9. You have the right to lodge a complaint with the supervisory authority, the President of the Personal Data Protection Office.
10. Providing your personal data as required by Article 22[1] of the Labor Code is mandatory to participate in the recruitment process. Providing other personal data is voluntary.

If the documents contain special categories of personal data referred to in Article 9(1) of the GDPR, your consent to their processing will be required, which can be withdrawn at any time. Consent may be worded as follows:

"I consent to the processing of special categories of personal data referred to in Article 9(1) of the GDPR, which are contained in (e.g., CV, cover letter, and other attached documents) by Akademia Łazarskiego for the purpose of my participation in the recruitment process."

If you wish to participate in future recruitments, your consent to data processing will be required. Consent may be worded as follows:

"I consent to the processing of personal data for use in subsequent recruitment drives conducted by Akademia Łazarskiego for the next 9 months."
