About the Position
We are seeking a skilled Facility Manager with over 5 years of experience in Facility Management to oversee office operations in Romania.
Responsibilities

Vendor and market analysis:
- Monitor the local market for suppliers and service providers required by the company (HVAC, electrical installations, UPS & generator, sanitary installations, firefighting, emergency situations systems, CCT, access control, drinking water, consumables, cleaning, security, etc.);
- Evaluate new opportunities for cost optimization;
- Manage the request for quotation process;
- Negotiate contracts with vendors and ensure service level agreements are met.

Construction and contractor management:
- Manage the fit-out, renovation, development projects (studio, reception, meeting rooms, locker rooms, changing rooms, etc.).
- Analyse construction estimates and provide feedback on pricing;
- Identify the most cost-effective and reliable contractors;
- Supervise external contractors working on office and studio construction projects;
- Ensure compliance with project budgets and timelines.

Safety and compliance:
- Keep track of technical documentation, authorizations, certificates, etc. of the company’s premises;
- Manage and ensure compliance with fire safety and occupational health procedures;
- Ensure that workplace safety measures comply with Romanian labour and fire safety regulations;
- Conduct safety audits and prepare for inspections.

Facility maintenance and repairs:
- Oversee the maintenance of the office and live casino studios (2,000+ sqm);
- Manage general repair works, including drilling, wall repairs, and minor construction tasks;
- Ensure all office technical equipment, HVAC systems, and electrical systems function properly;
- Coordinate and manage maintenance schedules for all facility systems.

Administrative management:
- Manage the cost saving and cost avoidance initiatives;
- Keep track of invoices received for the contracts and services under their coordination;
- Keep track of office consumables, assets, insurances, guarantees, travel arrangements, etc.;
- Develop and improve internal policies and procedures aimed at facilitating workflows;
- Manage a team of up to 4 direct reports and several supplier companies.
Requirements
- Minimum 5 years of relevant experience in Facility Management, Office Management, Maintenance Management or a similar role;
- Strong technical understanding of building maintenance, HVAC, electrical and security systems;
- Experience with construction/fit-out projects and contractor quotations;
- Knowledge of Romanian workplace safety and fire safety requirements;
- Strong negotiation, vendor management and problem-solving skills;
- Excellent organization, attention to detail and ownership mindset;
- Fluent Romanian and English;
- Strong digital skills, with hands-on experience using Microsoft Office (Excel, Word, PowerPoint, Teams, SharePoint, Copilot) and business tools such as Jira, Confluence, PeopleForce, AutoCAD.
