Project Manager Assistant

About the Position

Our client is a Florida-based HVAC company specializing in heating, ventilation, and air conditioning services. We are now looking for a Project Manager Assistant to join the team and support operational and administrative processes.

This is a remote position, ideal for someone who is highly organized, resourceful, goal-oriented, and committed to solving tasks independently. You will play a key role in managing documentation, communicating with city offices, opening permits, supporting licensing processes, and assisting with phone and email correspondence.

While prior experience in the HVAC industry is a plus, training on industry-specific processes can be provided.

Responsibilities

• Assist the Project Manager in day-to-day coordination and administrative tasks;
• Prepare and manage documentation for permits, licenses, and municipal processes;
• Communicate with clients, contractors, and city offices via phone and email;
• Track deadlines, manage document flow, and ensure timely follow-up;
• Maintain organized records and assist in reporting/project tracking;
• Proactively address minor issues and help drive projects forward.

Requirements

• Experience in administrative or coordination positions;
• Fluency in both English and Ukrainian or Russian;
• Strong organizational skills and attention to detail;
• Self-management and the ability to work independently without constant supervision;
• Strong communication and problem-solving skills;
• Willingness to learn industry-specific processes and terminology;
• Confidence in handling phone calls and formal correspondence;
• Proficiency with document management and digital tools (e.g., Google Workspace, Excel, Trello, or similar).

Bonus Points For

• Experience in the HVAC industry;
• Spanish speaking proficiency.

Working Hours: 7:00 AM - 3:00 PM Florida time (EST) or 9:00 AM - 5:00 PM Florida time (EST).
